Europa+ staff mobility is divided into two categories: – Erasmus+ staff mobility for training and further education purposes – Erasmus+ lecturer mobility for teaching purposes

Erasmus+ staff mobility for further education and training purposes enables you as a TU Darmstadt employee to expand your linguistic, professional and social skills. During short stays at a European partner university, you can benefit from various training opportunities, such as job shadowing or staff weeks. The aim of this measure is to promote your professional development and international competence.

Possible further education and training formats:

– Short-term stays: Further training at partner universities as part of the internationalization of universities.

– Work shadowing: participation in the day-to-day work of another institution.

– Job shadowing: during “job shadowing” you observe another person at work to get to know their profession

– Staff weeks and offers from partner universities: Organized programs lasting several days that are offered specifically for university staff from partner universities.

– Individualized stays: Flexible stays at partner universities that are adapted to your personal needs.

Erasmus+ Lecturer Mobility supports lecturers who travel to a partner university in another European country for teaching purposes. The prerequisite for funding is that you teach at least eight teaching hours per week (see teaching commitments). This can take the form of lectures, seminars, block courses, summer/winter schools or lectures. Lecturer mobility contributes to the internationalization of universities and promotes exchange between European institutions.

- The minimum requirement for lecturer mobility is at least eight teaching hours in one week.

– For stays of more than one week, the minimum number of hours for additional days is calculated accordingly (eight hours divided by five days multiplied by the number of additional days).

Possible teaching formats for lecturer mobility:

– Lectures

– seminars

– Block courses

– Summer/winter schools

– Leading working groups

– Lectures

Target groups for lecturer mobility:

– Lecturers in a contractual relationship with the university who can be approved for a business trip

– Lecturers without endowment

– Lecturers, emeritus professors and retired lecturers

– Research associates

- Subject to funds, TU Darmstadt supports short stays of at least two to a maximum of five working days.

– Privately used days and weekends cannot be funded. If the arrival and departure days are not identical with the first or last working day of the mobility measure, a maximum of two travel days can be funded as additional days of stay.

– The actual duration of the stay and the teaching hours completed must be confirmed by the host institution at the end of the stay (Confirmation of Stay). The host institution must confirm the specific start and end dates of the mobility stay.

Apply for your planned mobility in good time, as only limited funding is available for the current funding period.

You should submit your application via our application portal at least 2 months before the planned mobility. We will then check whether we have funds available for the planned period and get back to you.

Application procedure

The online application is completed in two steps:

1. no exact travel dates are yet required for the initial expression of interest, only the expected duration of the mobility for our calculation. As soon as you have completed the initial application, please inform us by email so that we can check your application.

2. the complete application can only be filled in after we have accepted your initial application. Therefore, please wait for our notification before attempting to complete the form. Please also submit your signed business trip application (abroad) here.

The stays can be subsidized with the Erasmus+ funding rates for staff mobility. Funding from Erasmus+ funds can be granted if funding is available and a complete application has been submitted.

Prerequisite for applying for Erasmus+ staff mobility:

– Well-founded and work-related training project (work program)

– Good English language skills (recommended level: B1) or the national language, other languages may be a prerequisite or an advantage (depending on the destination country)

– Approval of the project by the supervisor(s)

– Cooperation agreement with the Erasmus+ partner university (Which universities are partners of TU Darmstadt: check our partner database)

– The stays can be subsidized with the Erasmus+ funding rates for staff mobility. Funding from Erasmus+ funds can be granted subject to the availability of funding and the completeness of the application.

– Repeated funding is possible. Preference will be given to those taking part in a mobility measure for the first time.

– Applications are processed as they are received and checked for eligibility.

– The mobility must take place in a program country that is not the country of the sending university and in which the applicant's main place of residence is not located.

The participant must have sufficient insurance cover (health insurance, liability and accident insurance if applicable) for the host country and undertakes to provide sufficient insurance cover himself/herself, as no insurance cover is associated with the program. All participants in the ERASMUS+ program have the opportunity to be included in the DAAD group insurance scheme, which offers comprehensive insurance cover (for more information, please contact the DAAD insurance office on 0228/882-400).

Support is provided in the form of lump sums specified by the EU (travel allowance and subsistence allowance).

Any positive differences between the actual costs and the unit costs remain with the funding recipients and may have to be taxed by them personally.

ERASMUS+ funding is possible if the sending and receiving universities are in possession of a valid Erasmus Charter for Higher Education.

There must be a valid bilateral Erasmus+ contract (Inter-Institutional Agreement) with the agreement on staff mobility with the host university. In the case of lecturer mobility, such a contract must exist for the respective faculty.

Travel costs

The unit costs for the trip are calculated using the Distance Calculator of the European Commission. The amount calculated from the table with this simple distance refers to the one-off distance.

– 500 – 1,999 km 275 EUR

– 2,000 – 2,999 km 360 EUR

– 3,000 – 3,999 km EUR 530

– 4,000 – 7,999 km 820 EUR

Green Travel

There is a special subsidy for travel costs for green travel. This is specifically intended to promote the choice of environmentally friendly travel methods, such as traveling by train instead of flying. If this applies to you, please indicate this in your application.

Individual support per day of stay (stay allowance)

per working day per participant:

• Denmark, Finland, Ireland, Iceland, Liechtenstein, Luxembourg, Norway, Sweden, United Kingdom: €180.00

• Belgium, Germany, France, Greece, Italy, Malta, Netherlands, Austria, Portugal, Spain, Cyprus: €160.00

• Bulgaria, Estonia, Croatia, Latvia, Lithuania, Poland, Romania, Slovakia, Slovenia, FYR Macedonia, Czech Republic, Turkey, Hungary: €140.00

Please note! The mobility program must demonstrate that activities related to the mobility measure took place on the days to be funded.

Parallel funding for similar costs from other EU programs is excluded.

Special funding for participants with disabilities:

Personnel mobility participants with a disability (degree of disability 20 or more) or a proven disability/chronic illness that results in additional financial needs, as well as those who are traveling abroad with children, have the opportunity to apply for a real cost subsidy to cover the additional costs associated with the stay abroad. Before the mobility

• Invitation letter: Invitation letter from the partner university (an informal email is sufficient; for participation in Staff Weeks: confirmation of registration from the partner university)

• Business trip application: Approved business trip application (abroad) from TU Darmstadt (forms available in your department or here under “Business Trip Application Forms”).

• Secondment authorization: For trips lasting longer than 7 days or to France or Austria, you must apply for this from Department VII and carry it with you on your trip. The application must be submitted with your business trip application via . Please note that the processing time for EU/EEA countries + Switzerland is 4 weeks, and for all other countries, 8 weeks. If we can support your mobility, we will prepare the following documents for your stay:

“Grant Agreement” (financial agreement): must be signed by you and the International Relations Office.

“Mobility Agreement” (mobility agreement for teaching stays): must be completed by you and signed by you, the International Relations Office, and the host university.

• The payment of the mobility allowance (or after all documents have been signed) is handled by the participants and the International Relations Office.

During the mobility period

• The Confirmation of Stay (certificate of the length of stay at the host university) must be signed and stamped by the host university at the end of the stay. The original must be submitted to the International Relations Office after the stay.

After the mobility period

• The mobility participants take part in the EU Survey online survey.

• Submission of the Confirmation of Stay (certificate of the length of stay at the host university) signed by the partner.
