Document management system (DMS)

Against the background of the digitization pact of the Hessian universities, TU Darmstadt is planning to introduce a document management system (DMS) in cooperation with other Hessian universities that will cover all important administrative scenarios and e-files. As part of the planned digitization of administration, the "DMS4TU" project is coordinating the implementation of a DMS system architecture at TU Darmstadt.

In day-to-day operations, large volumes of digital documents and e-files are processed in all areas of TU Darmstadt. The management of these documents and e-files requires a comprehensive digital system architecture that must enable a smooth workflow for all areas and persons involved and at the same time observe and comply with the legal requirements of the DSGVO and GoBD for digital administrative processes. A central document management system that efficiently organises the capture, archiving, processing and management of these documents therefore means a significant increase in the efficiency of work processes and leads to much easier collaboration within the university, as well as secure handling of confidential data and audit-proof archiving of digital documents.

With a DMS, administrative processes that were previously handled on paper can be digitized, networked and designed without media discontinuity. The DMS makes day-to-day administrative work more modern, flexible and secure.

The DMS4TU project was launched in September 2021 in collaboration with the other universities in Hesse. The overall aim is to implement the system throughout the university. In addition to the central administration, the project therefore also addresses the administrations of the departments and the central facilities at TU Darmstadt.

Milestones

  • A DMS system for the entire TU to enable the audit-proof storage of documents at an early stage and thus achieve maximum data security.
  • Accelerated and more efficient execution of administrative processes by employees.
  • A needs-based implementation of workflows and end-to-end processes via the DMS system in order to reduce costs and inefficiencies through automation.
